ADP Payroll to QuickBooks Online: Automated Journal Entry Guide

ADP is the most widely used payroll platform for mid-size businesses, but it doesn't push journal entries to QuickBooks Online. The ADP General Ledger file exists, but mapping ADP's GL codes to your QBO chart of accounts is a manual, error-prone process — and it needs to be done every pay period.

The ADP to QuickBooks Online journal entry problem

ADP produces a General Ledger (GL) report that contains the debits and credits for each pay run. The problem: ADP's account codes don't match QuickBooks Online's account names. A bookkeeper has to manually cross-reference ADP's codes against the QBO chart of accounts, create a journal entry, and verify it balances. For multi-state payroll or complex benefit structures, this takes 45–90 minutes per pay run.

How PostBooks connects ADP to QuickBooks Online

  1. Export the ADP GL Report. In ADP, run the General Ledger report for the pay period and download it as CSV or Excel.
  2. Upload to PostBooks. PostBooks parses ADP's GL format, maps each line to your QuickBooks Online chart of accounts, and flags any unmapped codes for your review.
  3. Import into QuickBooks Online. PostBooks exports a QBO-ready journal entry or syncs directly via the QBO API.

After the first run, PostBooks remembers your account mapping. Future pay runs take under 60 seconds.

Frequently Asked Questions

ADP has a native QBO sync, but it maps at the transaction level, not the journal entry level. Many bookkeepers prefer a single balanced journal entry for clean reconciliation. PostBooks generates that journal entry from ADP's GL report.
Use ADP's General Ledger (GL) Report, available under Reports > Payroll > General Ledger. Download as CSV or Excel. PostBooks accepts both formats.
ADP uses numeric GL codes; QuickBooks Online uses account names. PostBooks creates the mapping between them. You review and confirm the mapping once on first use; PostBooks applies it automatically to every subsequent ADP report.
